My Client are a  leading Contractor in Essex, specialising in civil engineering, groundworks and infrastructure works, They work alongside a host of house-builders and support a variety of other industries throughout East Anglia and the South East of England.

They are seeking an Office Manager to join their team.

The Candidate will be based at their Head Office in Bury St Edmunds.

Job Description:

  • Managing and updating company database and systems
  • Purchasing office supplies when needed
  • Handling inbound calls and taking messages where required
  • Ensuring the office is presentable to visitors
  • HR responsibilities, ensuring employee database via Bright HR is kept up to date and issuing contracts where required in accordance with offer letters
  • Organising calendars and booking boardroom
  • Organising and booking hotel accommodation in line with budgets and ensuring all paperwork is kept up to date and in order
  • Co-ordinating with staff where necessary
  • Ensuring plant and vehicle records and up to date and oversee servicing records
  • Checking subcontractors hours against weekly timesheets and ensuring paid on time via Hudson Contractors
  • Managing and updating company policies, risk assessments, GDPR when required
  • Managing and updating all staff training
  • Supporting H&S Manager with updating records and any administration
  • Ensure site welfare boxes are in place for the start of jobs
  • Negotiate and update any existing contracts such as Utilities, Printer contracts, legal/HR advice portals
  • Maintain Subcontractor database and ensure insurances, qualifying questionnaires are updated
  • Support Accounts Department where necessary
  • Support Contracts Managers/Site Managers and Directors as required
  • Print site drawings and distribute as required
  • Be proactive and able to anticipate and prepare all eventualities to a high standard
  • Overseeing any insurance claims for all companies
  • Maintaining asset register
  • Monthly analysis of order book and reporting/discussing any missing items with relevant parties

The salary on offer for this role is £30k - £35k+package,depending upon previous experience.
