Executive Assistant £20.54p/hr PAYE 37 hours per week 8 Months Frimley Inside IR35 This is a high-profile Executive Assistant position, providing full and confidential support to a Senior Executive (e.g. Sector Managing Director, Business Managing Director, or Head of Functional Directorate). You will also support other key individuals within their team as needed. The successful candidate will act as the key interface to the Senior Exec’s office - demonstrating exceptional judgement, influencing skills, and the ability to build credibility with senior stakeholders both internally and externally. Responsibilities: • Provide expert, high-level Executive Assistant support to the Senior Executive, ensuring their priorities are achieved. • Act as the primary point of contact for all matters relating to the Senior Exec’s office, handling communications with discretion and professionalism. • Attend meetings, take concise and accurate minutes, and proactively follow up on action points to ensure timely delivery. • Independently manage and prioritise a high volume of activities, identifying the most critical and high-impact areas for focus. • Ensure the smooth running of the Senior Exec’s office through expert time management and problem-solving. • Seamlessly collaborate with key roles, such as Chief of Staff, to maximise business effectiveness. • Proactively prepare briefing materials, research background information, and ensure the Senior Exec is fully informed ahead of meetings. • Organise and support site visits and events across multiple UK locations (travel required). • Manage diary and travel arrangements, ensuring optimum scheduling and time efficiency. • Handle all incoming communications - drafting responses, redirecting where appropriate, and gathering further information when needed. • Manage and process expenses and invoices support budget oversight as required. • Produce professional documentation and presentations using advanced MS Office skills (Word, Excel, PowerPoint). • Organise large virtual meetings (e.g. WebEx, video conferencing) across time zones, ensuring technical readiness. • Identify and implement improvements in working practices and office efficiency. • Ensure compliance with internal policies and external legislation (e.g. GDPR, HS&E). • May provide guidance or oversight to junior administrative staff.
