As a Team Assistant, you play a pivotal role in providing core support across the business. Your responsibilities span a diverse range of tasks, all aimed at delivering exceptional client service excellence and ensuring efficient operations. With previous administrative experience, you will need to be organised, methodical and show attention to detail. You will be able to work as part of a team; offering support where necessary, use your own initiative and be a strong communicator. Awareness of quality and risk and task management is also key.

This is a full-time, permanent position working in the City Centre (100% office-based). Please note there is no parking available, but the site is well served by public transport links.

Key Responsibilities:

  • Opening and closing files, maintaining accurate records. Scheduling, archiving and managing deeds.
  • Photocopying, printing and scanning tasks, collaborating with the Reprographics Team.
  • Assisting with online cash management forms, liaising with the Finance Team.
  • Conducting research for train, flight and accommodation options.
  • Preparing files and bundles, including indexing and creating e-bibles.
  • Collaborating with PAs to organise marketing events. Assisting with name badge creation, client greetings and delegate materials.
  • Profiling documents in iManage. Uploading files to data sites and creating hyperlinks.
  • Retrieving land and property records from external websites.
  • Booking internal meeting rooms, ensuring smooth coordination.
  • Maintaining client contacts in the firm’s database.
  • Providing additional support as needed across various tasks.

Skills and Experience:

  • Previous administrative experience within an office environment
  • Seeks to provide an outstanding level of client services at all times

  • Clear communication skills and the ability to build positive relationships, both internally and externally
