We are looking for an immediately available individual, to undertake a temporary role as a Facilities Technician, working for a prestigious institute based on the Biomedical Campus, Cambridge. This assignment is to start immediately, for an initial 4-month period (possible extension). This is a full-time role, working 36.5 hours per week and will be 100% site based.
As the Facilities Technician, your role will be to support in the administration and co-ordination of the goods in, mailroom and facilities service provision to meet the needs of the organisation. This role has a key impact to the success of the property services delivery model, being seen as the main point of contact for the department, receiving helpdesk calls, responding to immediate issues and liaising on aspects such as administration requirements including cleaning/catering/deliveries.
Applicants will need to have experience and knowledge of coordinating day-to-day building operations, with a particular focus on working with contracted services. You will work well as part of a team, but equally have the ability to manage your own workload and be a confident communicator, able to build professional relationships within a team environment and individually with customers.
Key Responsibilities:
- Act as an initial point of contact for the day-to-day running of the Property Services functions including Helpdesk, Room Bookings, Reception, Purchasing, Events, Goods in and Courier Services.
- Help facilitate the service response to our customers’ requests and to proactively communicate with our customers on the progress of their requests.
- Collection and collation of requests to allow: Identification of Emergencies, Prioritisation of work, Reduce duplicate work calls and Provision of correct materials for jobs to be carried out.
- Identify areas where support delivery can be improved.
- Provide support to the Facilities Team Leader by timely input of data into the Helpdesk, Room Bookings, Deliveries and Mail/Courier databases, and providing usage and service level reports as necessary. Produce regular reports for KPIs as requested.
- Input daily requisitions; goods receipting on financial system, monitor orders and liaise with suppliers over payments and delivery matters.
- Carry out daily mailroom operations including, opening, sorting and distribution of incoming mail, resolving post queries. Application of effective security and safety procedures for dealing with suspect packages. Collation of appropriate management statistics.
- Organise and supervise overnight and day courier services for large or urgent items, monitoring their performance so as to ensure delivery of agreed service and value for money.
- Following full training, be responsible for the daily collection of Clinical Waste.
- Be responsible for the daily inspection and set up of all meeting rooms and ensuring they are fully stocked at all times
- Receive deliveries at the designated delivery point from external couriers.
- Record storage and distribution of goods to each department.
- Liaise with the onsite Porters to ensure timely distribution of goods to the correct departments.
- Maintain and manage the purchase ordering and stock control systems. Make the most of limited storage space available by utilisation of the storage racking and stock control management.
- Identify areas where costs savings can be made, by either reduction of stock levels or review of suppliers.
- To assist and help co-ordinate the set-up of meeting rooms and other venues for a multitude of internal and external events throughout the year.
- To support the Facilities Team Leader with events when required.
The successful candidate will be able to demonstrate the following essentials:
- Knowledge of co-ordinating a multitude of day-to-day building operations and contracted services covering a wide range of duties and complexity
- Knowledge of working with contractors
- Knowledge of ordering and goods receipting, with basic understanding of the processes associated
- Excellent organisation and communication skills
- Team working skills, flexible and able to adapt to change, working well under pressure using initiative
- An ability to question, negotiate and listen
- Relationship building within a team environment and individually with customers
- Customer service experience
- IT Skills, particularly using MS Word, Outlook and Excel
