Operations Manager Digital / Scanning / Records Management Operations

£40,000 - £45,000 + additional targeted bonus

We are seeking a dynamicOperations Manager to lead a Scanning / Digital / Records Management Operations team at our clients Peterborough facility. This role is instrumental in ensuring efficient operational service delivery across both physical warehouse and digital scanning services. You will be a key player in driving growth and operational excellence as they expand our digital service offerings.

Role Overview

The Operations Manager oversees the day-to-day operations of the Peterborough location, managing a team of approximately 30 permanent and temporary staff. This includes coordinating activities in both the warehouse and the scanning bureau. You'll play a pivotal role in driving efficiencies, planning for growth, and ensuring top-quality service delivery that aligns with customer needs and our high standards.

Ideal requirements of the Operations Manager:

To be successful in this role you will have experience of managing scanning operations and be located within a commutable distance of our Peterborough location.

You will be a people-oriented manager with strong supervisory skills with the ability to lead and direct your team.

An awareness and understanding of Document Management software solutions is required to support the growth of innovative scanning propositions.

Experience and knowledge of Kofax Capture Software and associated Scanning Hardware (IBML, Kodak etc) is desirable but not essential.

Key Responsibilities of theOperations Manager:

Service Delivery

Organize and manage the workload for the Peterborough teams to meet daily, weekly, and monthly service demands.

Ensure high standards of service quality in line with customer requirements and internal metrics, achieving targeted SLAs and KPIs.

Control costs to meet profitability targets and provide actionable management insights through performance dashboards.

Plan and model the growth and profitability of the scanning business, ensuring resources, equipment, and space are allocated effectively.

Oversee compliance with relevant standards (e.g., ISO27001 and ISO9001), with continuous improvement initiatives like Lean Six Sigma.

Manage daily customer orders and communicate with the Customer Service team if any issues arise, ensuring timely updates to customers.

Commercial Focus

Drive profitable growth by understanding cost management and pricing strategies.

Collaborate with the Finance team to maintain visibility on costs and key factors that support growth, identifying any required investments in staff or infrastructure.

Achieve revenue and margin targets and support the swift delivery of new scanning projects in collaboration with cross-functional teams.

People Management

Lead and support the scanning team with a focus on delivering high-quality services.

Conduct regular team meetings and support HR matters as needed.

Coordinate training to ensure the team is fully prepared and up-to-date with relevant procedures.

Roll out standard policies across the site and foster a secure, health-conscious environment.

Health & Safety

Uphold high safety standards, overseeing Health & Safety measures both onsite and across the fleet.

Ensure regular fire alarm checks, conduct fire drills, and maintain fire-fighting equipment.

Keep all areas clean and clear, manage repairs, and adhere to PPM schedules and contractor guidelines.
