We are looking for a Facilities Coordinator to join our clients leading global FM company in Carlisle. This is a fantastic opportunity to be part of a dynamic team, supporting essential services across a high-profile contract.

As a Facilities Coordinator, you will play a critical role in ensuring that all FM services run smoothly across the contract.

The Package:

Key Responsibilities:
  • Scheduling and coordinating planned preventive maintenance (PPM) and reactive works across multiple sites.
  • Raising and managing work orders, ensuring timely completion by contractors and internal teams.
  • Liaising with engineers, suppliers, and subcontractors, ensuring they meet contractual SLAs.
  • Monitoring building systems (e.g., HVAC, fire safety, security, lighting) and escalating issues where required.
  • Keeping up-to-date records of statutory inspections, audits, and compliance reports
  • Raising purchase orders and processing invoices related to FM services.
  • Acting as the first point of contact for facilities-related queries from internal teams and clients. Providing excellent customer service, ensuring all requests are actioned efficiently.

Requirements:

  • Previous experience in a Facilities Coordinator / FM Administrator / Helpdesk role, ideally within a large FM contract.
  • Strong understanding of building services, maintenance coordination, and supplier management.
  • Excellent communication and problem-solving skills.
  • Ability to work in a fast-paced, high-volume environment, managing multiple priorities.
  • Knowledge of health & safety, compliance, and statutory regulations.
  • Proficiency in Microsoft Office and CAFM systems (Concept, Maximo, Planon - desirable)
