Vision FR is delighted to be working with our client, an Events Agency that is experiencing good growth and are just setting up an office in America this year. Billings are looking to be around £9M for this financial year. The Client is looking for someone who has experience of working within a creative agency (ideally events). Ideally you will be qualified or have a good understanding of working within a creative agency as their senior finance person. You will work closely with the SLT (Senior Leadership team). The Client is keen to look at their systems and processes with a view to making these more efficient and stream-lined. You will have responsibility for overseeing the Finance Executive and also for supporting with HR and operations functions within a small core full time team of 9 staff. These are supplemented with Freelance staff and events staff.

It would be great if you have experience with setting up and reporting compliance of an American office although this is not essential.

Main Job responsibilities of the Financial Controller:

  • Oversee the day-to-day finances of both UK and US office - the Client currently uses both Paprika (for managing Jobs and their analysis) & Xero. There is a need to review and manage improvement in processes and systems - stream lining the current systems to ensure maximum efficiency & profitability.
  • Team - Overseeing the part time Finance executive who will do most of the transactional stuff
  • Management Accounts - Produce full management accounts of both UK & US with variance analysis, Forecasts and Cashflow Forecasts to present to Board
  • Budgets & Forecasts - Prepare and Manage the Annual Budgets/ Forecasts of the business
  • Payroll - oversee the upload P& preparation of the payroll for events staff - check and correct as appropriate - Ensure it is sent to the external payroll processors. Manage the internal payroll of the perm and freelancers, manage Pension control account and payments - post payroll journals, manage payments - Reconcile and Manage NI/ PAYE control accounts and payments, manage P11D’s
  • Bank - Post payments & receipts - Bank reconciliations using Xero, manage foreign payments, Foreign Exchange, manage invoice discounting.
  • Tax - prepare the VAT Returns, Reconcile and Pay Quarterly VA, ( Manage / Reconcile and Pay NI/VAT/ PAYE/Corporation Tax.
  • US Office - Ensure all billing and costs are correctly accounted for and paid correctly and on a timely basis. Liaise with Attorney and accountants re statutory returns, salary and pension payments ,Tax payments filing of accounts.
  • Cross Charging - ensure correct Costs sit within the right entity via intercompany invoicing
  • Debtors - Finance executive re day-to-day management of Credit control
  • Creditors- Oversee Finance executive re day-to-day Postings / reconciliations etc- manage payment runs
  • Credit Cards - Check that the Finance Exec is correctly uploading to paprika (ensure they manage posting and reconciliations)
  • Staff expenses - Check post and Pay
  • Freelancers - post and pay
  • Cashflow - Manage daily cashflow
  • WIP and Job Costs - Ensure all jobs are correctly opened in Paprika, Liaise with account management on all costs/ Revenue taken. Ensure that the correct revenue is deferred / accrued and that all costs are written off appropriately. Reconcile all jobs. Review under and over delivery of time v fees.
  • UK Office - Oversee and manage Purchases of office equipment & Furniture, Ensure insurances and utility costs are negotiated and reviewed regularly
  • HR - Manage all HR administration, Contracts, Holidays, Benefits
  • Paprika / Xero - Manage and Improve systems, ensure all staff use the systems to their full extent
