General Responsibility:

  • Working within the Operations Department providing support to the Client Management teams for proactive management of a portfolio of clients.
  • To deliver exceptional client service, maintain internal and client relationships and effectively identify any risks to prevent loss of income and reputation to our business.

Responsibilities:

New Business

  • To ensure Prospective Clients are set up on the operating system using the required Checklist the same day as requested.
  • To ensure all documentation required has been received and where necessary executed correctly.
  • To set up new client files in both hard copy and electronic format.

Legal Documents

  • To assist the Client Management Team in the issue of legal documents for both prospective and existing clients where necessary.

Recoveries

  • To update collect out Clients on the operating system using the required Checklist the same day as requested and review monthly.
  • To raise any legal documentation required to aid in the recovery of the current account including fees for all collect out Clients.
  • Upon termination of a Client (when recovery has been completed or write off agreed) to raise any documentation required and update the operating system.

Risk Management

  • To ensure all debtors over £2000 funding limit and all Clients and corporate guarantors are monitored on Experian, for all debtors with a funding limit above £20,000 that an appropriate cover limit is in place.
  • To request any cover limits as required by the Sales or Client Management Team.
  • To always ensure the security of the company’s funds, minimising client losses and bad debts.
  • To provide regular feedback to the Client Executives and Client Managers about any issues that may impact upon company security

Maximise Income and Added Value

  • To identify and introduce new business opportunities where appropriate.

Internal Customers

  • To work closely with all other Departments to ensure that the Operations department always runs in an efficient and professional way. Any issues or concerns should be escalated to senior management immediately.
  • To make recommendations on how Operations can be improved/enhanced.
  • To assist the Head of Operations in motivating and developing the Operations team.
  • To provide staff training where appropriate.
