PA to General Service Manager

This company I am working with are seeking a proactive and organised PA to support our General Service Manager, Essex. This role involves comprehensive administrative support across our Service departments at all 21 sites and occasional assistance to the Warranty department.

Day-to-day of the role:
  • Provide administrative support to the General Service Manager for memos, letters, emails, and minutes of meetings.
  • Oversee the recruitment process for Service Apprentices across all branches, collaborating with HR to receive CVs and liaise with Service Managers and Colleges.
  • Maintain and update CNH Dealer Portals and Web Academy, along with other manufacturer platforms.
  • Foster superior communication between branch Service Managers, Service Administrators, and provide support as needed.
  • Prepare letters and mail merge documents as required.
  • Organise and arrange courses, travel, and accommodations for both the General Service Manager and Service staff.
  • Update in-house training records in conjunction with the HR department.
  • Assist the Warranty team as needed.
  • Manage the General Service Manager's online calendar, ensuring it is up-to-date and scheduling interviews/meetings appropriately.
Required Skills & Qualifications:
  • Excellent communication skills, with the ability to interact diplomatically with customers and managers in a professional manner, both written and verbal.
  • Proven experience in a similar role, including minute taking.
  • Organised and capable of multitasking efficiently.
  • Ability to remain calm under pressure.
  • Flexible, approachable, and self-motivated with the ability to work well with others.
  • Discretion in handling confidential matters.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Attention to detail and a professional appearance.
