Our client is seeking a Maintenance Administrator to join their dynamic team. This role involves taking ownership of various administrative and coordination tasks to ensure smooth operations and excellent client service. The ideal candidate will be a self-starter with a knack for multitasking and maintaining high standards of accuracy and efficiency.

Day-to-day of the role:

  • Take ownership of jobs and workloads, ensuring all tasks are completed efficiently.
  • Schedule jobs accurately on the job system and confirm bookings with clients.
  • Maintain clear and effective communication by updating clients on the progress of works and sending completion paperwork.
  • Build and maintain relationships with clients, suppliers, and engineers.
  • Manage client portals, chase engineers for paperwork, and handle incoming queries promptly via phone and email.
  • Monitor shared mailboxes and assign tasks to technical staff.
  • Collaborate with the team to achieve targets and deliver exceptional results.
  • Ensure all client-set SLAs are met, arrange hire equipment, and coordinate job logistics.
  • Order materials and parts for each job, ensuring availability and timely delivery.
  • Plan schedules for electricians to optimise efficiency and manage travel arrangements for staff.
  • Handle invoicing, ensuring accuracy and timeliness, and perform general administrative duties such as filing, scanning, and data entry.
  • Manage equipment and tools, ensure compliance documentation is up to date, and assist directors with various tasks including diary management and meeting bookings.
  • Handle complaints and escalations, undertake necessary training and development, and perform any other ad hoc duties as required.
