Receptionist / Facilities Administrator

Our client is a leading provider of business support and finance in the region, who help to create jobs and grow the local economy. They are now looking to add a Receptionist / Facilities Administrator to their team, whowill contribute to delivery of Essex-based business support projects and business centre facilities management in Chelmsford.
The successful candidate will be supporting colleagues to conduct day-to-day operations, reporting, services administration and coordination.
Duties (include but are not limited to):
- To work effectively as a receptionist; providing high levels of customer service in person, over the phone, and via email
- To provide general administrative support to colleagues, maintaining a high-level of accuracy
- To prepare and send out invoices
- To set-up and close premises / units
- To ensure offices / units are ready to show at all times
- To monitor maintenance of the building (including stock levels / cleanliness / supplies)
- To manage meeting room bookings including preparation of rooms and refreshments
- To support marketing of the Centre through newsletters, social media, tenant events, etc
- To promote Essex business support programmes
- To help with initial enquiry handling where required
- To support the set-up and management of events
- To extract reports as and when required
- To support continual process and service improvement
- To undertake such other tasks as considered appropriate by your Line Manager, Centre Manager, Directors or Chief Executive
Person Specification:
- Experience of Microsoft software, specifically Word, Excel and PowerPoint
- Customer Service skills essential
- The ability to work as part of a team within an office environment, but also self-motivated to work alone
- Ability to work with a range of people including the general public, partners and public sector colleagues
- Ability to work to deadlines, with good time management and efficient work patterns
- Flexibility to meet changing business needs.
- PLEASE NOTE: the role will be based from Ongar until spring 2025. After that the role will only require travelling to Ongar on occasion for holiday cover
Driving Licence required: Yes`
