The Volunteer Manager position at Provide Community CIC is a newly established role designed to enhance and expand the organisation's volunteering initiatives. We aim to cultivate a vibrant volunteer program that will significantly grow volunteer engagement. By fostering strong relationships with staff, implementing strategic development plans, and creating meaningful opportunities for volunteers, this role will play a crucial part in enriching the services we provide and enhancing the overall patient experience within our communities.
Key Responsibilities
Volunteer Management
- Develop and implement comprehensive communication strategies across the organisation, including specific channels for volunteers
- Develop and oversee recruitment campaigns to attract a diverse and skilled volunteer base, ensuring alignment with Provide Community's values and operational needs
- Design and deliver comprehensive induction, training, and mentorship programs to maximise volunteer engagement and effectiveness Manage day-to-day operations of the volunteering programme
- Establish key performance indicators (KPIs) for volunteer contribution and satisfaction, ensuring data-driven improvements to the volunteer programme
- Monitor volunteer attendance and maintain quality experiences
- Co-ordinate volunteer opportunities across Provide
- Design and implement an innovative volunteer employment journey, development programme, including professional development, and bespoke recognition event
Matrix Management
- Implement matrix management approach for colleagues supporting volunteers across departments, ensuring clear communication and alignment of volunteer-related objectives Coordinate cross-functional teams to optimise volunteer engagement, providing guidance and support to colleagues whose roles intersect with volunteer management
Strategic Development
- Shape and drive the long-term vision for volunteer engagement across the organisation, ensuring that volunteering becomes an integral part of Provide Community's healthcare delivery model
- Contribute to and deliver the Volunteer Strategy for Provide
- Identify and implement forward-thinking volunteering opportunities to address emerging healthcare and community needs, supporting Provide's mission to transform lives
- Collaborate on projects to improve patient experience and engagement
Communication
- Communicate complex and sensitive information effectively to diverse audiences
- Present information in various formats tailored to different stakeholders
- Lead internal communications through channels such as intranets, newsletters and team meetings
- Engage colleagues and address concerns during periods of organisational change
- Identify, analyse and prioritise key stakeholders, developing effective relationships
- Manage expectations and address concerns of various stakeholder groups
- Lead initiative-taking external stakeholder engagement programmes
- Represent the organisation at regional and national forums
- Develop partnerships with external organisations and manage strategic relationships Use various channels for external communication, including websites and social media
- Employ strong negotiation and influencing skills to drive organisational objectives
Policy and Procedure Management
- Development of a suite of volunteering policies and procedures that ensure legal compliance, promote best practices, and support the wellbeing of all volunteers
- Ensure compliance with relevant regulations and best practices
- Function as the senior point of escalation for volunteer-related challenges, ensuring swift and effective resolution to uphold the quality and reputation of the programme
- Create resources and training materials for volunteers and colleagues
Administrative Responsibilities
- Manage volunteer budgets and expenses
- Develop and maintain reporting mechanisms to monitor volunteer impact, engagement trends, and program success
- Produce regular monitoring and tracking reports
- Serve as the primary liaison between departments to integrate volunteering seamlessly into operational frameworks
Collaboration and Networking
- Build relationships with key stakeholders
- Represent the organisation at regional and national forums, championing the role of volunteering in modern healthcare systems
- Participate in professional networks and associations
- Function as a mentor to junior colleagues and volunteers, fostering a culture of learning, growth, and leadership within the volunteer services team
Volunteer Recognition
- Implement a system for volunteers to share their experiences and best practices, fostering a culture of continuous learning and improvement
