Project and Commercial Administrator

Cheltenham (5 days per week)

Maternity Cover

Salary 35,000 per annum

Key Accountabilities:

  • Process incoming change requests, access forms, and ensure accuracy by liaising with relevant departments.
  • Assist the Commercial team with reviewing Contractor Monthly Cost evidence, including Labour Timesheets, Material invoices, etc.
  • Support contractor queries regarding Fast Draft / Change Control processes.
  • Provide ad-hoc Fastdraft support and training to PM/QS teams, including PMI, Compensation Events, and Early Warning Notices.
  • Support regular contractual audit processes as needed.
  • Maintain accurate data logs and systems for contract management, primarily using SharePoint.
  • Support the Customer Connections team with Purchase Order requisitions.
  • Order PPE, mobile phones, etc., for team members via the in-house COUPA system.
  • Provide other administrative support to the Customer Connections team when required.
  • Arrange team events and meetings as necessary and take meeting minutes and notes.
  • Handle contractor communications and queries regarding Fast Draft/Change Control.
  • Generate reports using Power BI and Fast Draft as required.

Key Skills & Experience Required:

  • Experience with online database systems such as Fast Draft or similar systems.
  • Strong Excel skills, with a focus on efficiency.
  • Experience pulling reports and creating trackers or MI reports to update teams.
  • Proven ability to interact with stakeholders and gather necessary information.
  • Experience handling Purchase Orders (POs) and supporting finance-related tasks.
  • Strong collaborative skills, working effectively across teams and departments.
  • Knowledge of governance practices for managing sensitive information.
