Team Administrator - Join a Friendly & Professional Team in Chesham

Location: Chesham

Hours: Monday - Friday, 37.5 hours per week (flexible hours negotiable)

Salary: £26,000 - £28,000 (dependent on experience)

Are you an organised, proactive and detail-focused administrator looking to join a small, friendly and professional team? We're looking for a Team Administrator to support our client in Chesham, working closely with the Office Manager to ensure the smooth running of the business. This is a fantastic opportunity to play a key role in a team environment, where your efficiency and problem-solving skills will be highly valued.

What You'll Be Doing:

Office Administration & Support

  • Answering and directing phone calls professionally.
  • Managing staff in/out records and keeping the office diary up to date.
  • Organising project numbers, proposal lists and updating databases.
  • Prioritising and completing tasks requested by engineers.
  • Keeping track of Purchase Orders and updating the invoicing spreadsheet.

Finance & Compliance

  • Issuing invoices monthly and tracking project values.
  • Chasing overdue invoices and Purchase Orders.
  • Assisting with ISO 14001 & ISO 9001 audits and updates.
  • Completing and issuing the monthly sales report.
  • Arranging renewals for insurances, gas and electricity contracts.

Policy & Certification Management

  • Keeping policies up to date for tenders and compliance.
  • Maintaining first-aider and fire warden certification records.
  • Booking CPD training for engineers and updating training records.
  • Managing asset logs for hardware purchases.

Skills & Experience

  • Previous experience in an administrative role with strong organisational skills.
  • Excellent attention to detail and ability to prioritise tasks effectively.
  • Confident using Microsoft Office (Word, Excel, Outlook) and updating databases.
  • Strong communication skills - both written and verbal.
  • Ability to work independently while being a key team player.
