We are seeking an Administrative Assistant to provide high-quality administrative support, ensuring optimisation of relationships with clients. The role involves assisting with the daily operations of the office and contributing to the smooth running of our business processes.

Day to day of the role:
  • Organise and schedule meetings and appointments on behalf of Partners.
  • Arrange travel and accommodation, ensuring efficient use of time and minimal expenditure.
  • Handle the distribution of incoming post and preparation of outgoing post for daily collections.
  • Order stationery and literature as needed.
  • Adhere to and track end-to-end business processes efficiently.
  • Input, update, and maintain client data using appropriate IT systems.
  • Process online applications and new business applications as required.
  • Maintain accurate records of archiving and filing.
  • Manage reception duties to provide a professional and consistent welcome to all visitors and callers.
  • Reprioritise workload to ensure urgent work is actioned in a timely manner.
  • Project a professional image in both appearance and attitude, providing quality support on time to agreed standards.
  • Maintain good working relationships with colleagues, clients, and third parties.
  • Provide cover for other team members as per business need and contribute actively at team meetings.
Required Skills & Qualifications:
  • Previous experience in an office support role is preferable.
  • Good working knowledge of Microsoft Office packages.
  • Comfortable with using electronic (client) data systems.
  • Ability to multi-task and work to deadlines without compromising quality.
  • Excellent client interaction skills, both face-to-face and over the telephone.
  • Ability to build strong relationships and handle queries effectively and courteously.
  • Commitment to maintaining confidentiality at all times.
  • A willingness to work collaboratively as a team member.
