This Purchasing Administrator role involves managing purchasing processes using SAP, negotiating with suppliers, and supporting the Operations Manager with various administrative tasks. The ideal candidate will have experience in administrative roles, preferably within purchasing, and must be proficient in SAP and Microsoft Office.
Day-to-day of the role:- Generate and issue purchase orders using SAP for buying services and goods.
- Upload customer purchase orders onto SAP and manage new product materials within the system.
- Enter Goods Received Notes (GRNs) onto the SAP system promptly.
- Negotiate with suppliers to secure the best prices and lead times.
- Implement and monitor KPIs to assess supplier performance.
- Set up and maintain supplier service level agreements.
- Produce departmental expenditure KPIs and generate monthly spend reports including analysis.
- Manage the stock area to ensure minimum and maximum levels are maintained and that stock is stored promptly.
- Maintain purchasing records to an auditable standard and ensure timely filing of purchase orders, invoices, etc.
- Liaise with the group regarding purchasing processes and perform supplier desktop audits.
- Support the Finance Manager with queries related to customer/supplier purchase orders, invoices, and personnel.
- Research the market for innovative products and best practices.
- Coordinate general company queries received by telephone and manage visitor bookings.
- Provide administrative support to the Operations Manager and support the production team with ad-hoc requests such as booking flights and taxis.
- Previous experience with SAP is preferred.
- 2-3 years of administrative experience, ideally in a purchasing environment.
- Proficient in Microsoft Office (Outlook, Excel, Word).
- Ability to prioritise own workload and work autonomously.
- Excellent spelling, grammar, and attention to detail.
- Good communication skills and ability to work well in a multifunctional environment.
