We are now recruiting for an Administration Assistant to assist with the day-to-day running of the regional office and providing administrative support to other departments.
In addition to this, as our Administration Assistant you will be responsible for:
- Answering incoming calls, redirecting callers to relevant staff and filtering calls as required
- Greeting visitors and logging their attendance in the office diary
- Opening, distributing, and preparing mail for dispatch, to include recorded, special delivery and international mail
- Typing and creating documents as required
- Filing, scanning & photocopying
- Archiving paper and electronic files
- Organising transport and accommodation
- Assisting with raising purchase orders for plant & materials as required
- Assisting with the entering and matching of delivery notes, and releasing of invoices on the procurement system as requested
- Assisting with investigating and resolving invoice queries
- Provide administrative support to senior management, and the contracts, estimating, commercial and marketing departments when required.
- Assisting with approved Sub-Contractor database, vetting & compliance
- Assisting with vehicle hire
- Assisting Training Department with staff and operative induction and training when required
In order to be successful in this role you should have:
- Previous experience in a similar administrative role, preferably within the construction industry.
- A pleasant, confident telephone manner.
- Excellent written and verbal reporting skills.
- A-Level / NVQ Level 3, or equivalent level of qualification.
- Experience and proficiency working with modern office equipment and MS Officer (Outlook, Word, Excel and Powerpoint).
