Job Description:

Location: ChichesterWorking Pattern: Part-time - 2 days per week Working Arrangement: Hybrid working with in office days being agreed with Line ManagerPay rate: £14.17/hr (Grade 7)

Requirements of Board Secretariat

  • To adopt a pro-active and constructive approach to supporting the Board Members to fulfil the role of the Board (see Annex I).
  • To advise on procedural matters, communication with Board Members between meetings, and other matters that are agreed with the Board Chair.
  • To co-ordinate and manage Board Member Register of Interest documents and ensure the Board operates in line with the Assurance Framework.
  • To work on own initiative dealing with complex and competing deadlines and agendas.
  • To issue background papers (including agendas).
  • To be responsible for the administration of meetings, minute-taking, and reporting.
  • To co-ordinate and manage booking of meeting venues.
  • Time commitment of at least 2 days per week until 31 March 2025, after which hours will be reviewed.

Main Duties/Responsibilities

o Organises and undertakes a robust and comprehensive secretariat service to the Board and ensures the effective and efficient administration of Board activity consistent with the Board’s Assurance Framework. This includes:

o Organisation of agendas and the co-ordination and distribution of papers and reports for the Board and its sub-group meetings.

o Co-ordinates the governance arrangements between the Board, sub-group meetings and West Sussex County Council officers. Ensures common standards are applied across all meetings supporting the governance arrangements.

o Attend Board meetings and prepare accurate and concise minutes to record key issues, decisions taken, and actions agreed, ensuring draft minutes are available promptly for review.

o Develop clear and concise action plans and ensure that actions are being implemented by those responsible.

o In association with the Chair and Director of Place Services at West Sussex County Council plan the business of the Board and its meetings on an annual basis to ensure that the decision-making process is co-ordinated and planned accordingly.

o Ensure the accurate storage and maintenance of official Board meeting business records in the relevant West Sussex County Council secure folders.

o Ensures the finalised board papers are published on the Business West Sussex website, in accordance with the Assurance Framework.

o Attends all Board meetings and in Secretariat role ensures the Board adheres to the Assurance Framework.

o Organises ad hoc sub-group meetings for the Board when required on specific topics outside of the regularly scheduled Board meetings.

o Travel to and from Board meetings.

o Provide support to WSCC with Board member interviews and in organising the Annual Economic Summit.
