Hawk 3 Talent Solutions is hiring as an employment agency on behalf of their client for an Executive Assistant (REMOTE / HYBRID) to work remotely/hybrid from Rugby. You need to be ideally within one hour of the Rugby office. While you can work fully remotely, occasional in-office work in Rugby is required.

We are seeking an experienced and highly professional Executive Assistant to provide top-level support to our executive team, enabling them to focus on driving the business forward. The Executive Assistant will act as a trusted partner to the executive team, managing their schedules, communications, and priorities with the highest degree of professionalism and confidentiality. This role requires exceptional organisational skills, discretion, and the ability to anticipate needs and adapt to a fast-paced environment.
 
Key Responsibilities:
Executive Support

  • Manage and maintain the executive's complex calendar, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact between the executive and internal/external stakeholders, ensuring smooth communication.
  • Prepare high-quality documents, presentations, reports, and correspondence as required.
  • Attend meetings to take minutes, track action points, and ensure follow-up on key deliverables.

Communication Management

  • Screen and prioritise emails, calls, and correspondence to ensure timely responses.
  • Draft and proofread communications on behalf of the executive, maintaining a professional tone.
  • Liaise with key stakeholders to coordinate projects, events, and high-priority initiatives.

Project and Event Coordination

  • Assist in planning and executing business events, including board meetings, conferences, and client engagements.
  • Support the executive in managing projects, ensuring deadlines are met and deliverables are completed to a high standard.
  • Conduct research and gather data to support strategic decision-making.

Administrative Oversight

  • Manage expenses, invoices, and budgets related to the executive's activities.
  • Ensure effective document management and maintain a well-organised filing system.
  • Handle sensitive information with utmost confidentiality and integrity.

Team Collaboration

  • Work closely with other administrative staff to ensure cohesive support across the group.
  • Provide support to other members of the executive team as needed.

 
 
Key Skills and Competencies:

  • Exceptional organisational and time management skills, with the ability to multitask and prioritise effectively.
  • Willingness to travel from time to time
  • Strong written and verbal communication skills.
  • Professionalism, discretion, and the ability to handle confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • A proactive, resourceful, and problem-solving mindset.
  • Ability to remain calm and composed under pressure.
  • Previous experience as an Executive Assistant or similar role supporting senior executives.
  • Experience in managing complex schedules and handling high-pressure situations.
