We are seeking an enthusiastic and highly organised Personal Assistant to support our team of professionals.If you're a proactive problem-solver, this is your opportunity to make a meaningful impact.

Based in Bookham

  • Up to £32,000 + bonus

Job specification:

  • Collaborate with three solicitors and two part-time secretaries.
  • Prepare documents through audio typing and word processing.
  • Manage filing, including client file organisation per office procedures.
  • Handle mail preparation and dispatch.
  • Complete copying tasks personally if no office assistant is available.
  • Schedule appointments and maintain calendars for fee earners.
  • Set up and tidy the conference room for meetings.
  • Provide refreshments as needed.
  • Support and mentor other secretaries when required.
  • Assist clients in person and by phone with a professional demeanour.
  • Engage in necessary training for personal development.
  • Ensure confidentiality of firm and client information.
  • Complete online forms and utilise the Case Management System.
  • Maintain high standards of document presentation.
  • Identify ways to improve departmental efficiency.
  • Perform additional duties as needed.

Person specification:

  • Significant legal secretarial experience.
  • Proficient in relevant IT applications.
  • Maintains high accuracy levels.
  • Communicates professionally with clients via phone and in-person.
  • Delivers excellent customer care.
  • Takes a proactive approach to tasks and client needs.
  • Capable of meeting deadlines, handling pressure, using initiative, prioritising workloads, and collaborating as part of a team.
  • Exhibits a positive attitude.
  • Knowledge of law and legal practice is essential.
