Salary: £28,000 to £34,000 per annum depending on experience
Location: Leatherhead or Glasgow - (flexible hybrid working, with time split between the office and working from home)

We have a great opportunity to join our busy Legal Team, reporting to the Head of Legal. The Legal Team works across a range of sectors and prides itself on being a trusted advisor to the business. The successful candidate will provide support to a team of six solicitors and advisors and will get exposure to the varied and interesting work undertaken by the Legal Team and the wider business.
The role involves assisting with the smooth running of the Legal function by providing administrative support to the team. This includes managing the team’s shared inbox and maintaining the workload list. The Legal Assistant is often the first point of contact for enquiries into the Legal Team and we are looking for a personable team player with a "can do" attitude. Looking forward, there is also the opportunity for the Legal Assistant to support the Legal Team’s plans to embrace technology and find efficiencies in its ways of working.
Responsibilities

Tracking enquiries received by the Legal Team via the shared Legal Team inbox.

Adding new enquiries onto the Legal Team workload spreadsheet.

Acting as a first point of contact for enquiries into the Legal Team, in particular by seeking all information required by the Legal Team (e.g. timescales, client details, correct documents).

Regularly updating the Legal Team on incoming requests and alerting the Legal Team to urgent enquiries when received.

Providing status updates to relevant stakeholders on progress of enquiries.

Maintaining and updating shared Legal Team inbox, including by archiving old emails and colour coding enquiries according to Legal Team’s conventions.

Maintaining and updating the workload spreadsheet detailing all current Legal Team matters and enquiries.

Maintaining and updating the Legal Teams shared folders for storage of important emails and documents.

Attending Legal Team meetings and updating workload spreadsheet during and following the meetings.

Liaising with a range of stakeholders on behalf of the team, including internal clients within the business and contacts within the wider KBR group.

Supporting the Legal Team to find efficiencies in existing processes, in particular with plans to (i) increase use of Share Point for contract management; and (ii) introduce an online form for requests into the Legal Team.

Maintaining a log of our annual insurance certificates.

Recording and maintaining statistics on numbers and types of requests received by Legal Team and reporting these to the Head of Legal on a monthly basis.

Assisting Legal Team with administrative tasks, including comparison of documents, proof reading and formatting of contracts.

Maintaining Legal Team subscriptions to databases.

Experience of working within a Legal Team is an advantage but not essential.
