Operations/Office Manager Position Overview:We are seeking a motivated and experienced Operations/Office Manager to join our dynamic team. This role is pivotal in ensuring the efficient operation of our office while supporting key business functions.________________________________________Key Qualifications: Operations/Office Manager • Education: Bachelor’s degree (preferably in Legal or Business disciplines).• Experience:• Ideally from a Financial Services or Professional Services background.• Previous experience with Know Your Customer (KYC) processes is desirable.• Skills:• Strong organizational skills with the ability to manage multiple tasks efficiently.• Highly numerate and proficient in working with spreadsheets and figures.• Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Adobe.• Excellent communication skills for engaging with clients, investors, and service providers.• Adaptable, flexible, and capable of working under tight deadlines.________________________________________Primary Responsibilities:1. Company Secretarial• Prepare and manage quarterly board packs and meeting minutes.• Maintain minute trackers and ensure timely documentation.• Create and manage Word documents and Excel spreadsheets for various tasks.• Coordinate with third-party service providers and ensure documentation compliance.2. Office Management• Collaborate with the CFO to ensure smooth office operations.• Manage office supplies, including orders and maintenance.• Act as the primary liaison with service providers (accountants, lawyers, IT providers).• Oversee internal systems, data entry, and health/safety compliance.3. Travel Coordination• Organize travel logistics, including flights and accommodations for team members.• Support arrangements for team members and visiting professionals.4. Board Meetings and Packs• Coordinate quarterly board meetings and liaise with third-party providers.• Assist in preparing and distributing board meeting materials.5. Presentations and Documentation• Assist in creating presentations and arranging professional binding.• Develop Word documents, PowerPoint presentations, and Excel spreadsheets for tasks.6. Investor Relations• Maintain and update contact databases.• Handle communications with investors and arrange calls, meetings, and visits.• Address investor queries and facilitate responses through appropriate channels.7. Team Records Management• Manage team diaries, including travel and holiday schedules.• Maintain compliance trackers and ensure timely updates.8. IT Support• Act as the primary liaison between staff and IT support providers.• Ensure the seamless functionality of IT systems and troubleshoot as necessary.9. Mail and Courier Management• Oversee incoming and outgoing mail and courier services.• Coordinate with the office provider for mail management.10. Compliance Administration• Update quarterly compliance trackers and ensure returns are filed on time.• Coordinate required training sessions for compliance and regulatory needs.11.
