Head of Logistics

The Head of Logistics will be responsible for managing and leading the Planning Team, ensuring the timely and efficient delivery of services to clients. This role involves overseeing both pre-planned and reactive service delivery, working in collaboration with the Operations Department and stakeholders across the business.

Key Responsibilities:Planning Team Management
  • Line management and mentoring of the Planning Team, approximately 8 people

  • Ensuring the team is regularly briefed on service delivery requirements and operates in alignment with business needs.

  • Maintaining adequate staffing levels to provide 24/7 service coverage.

  • Supporting professional development within the team through mentoring, training programs, and third-party development schemes.

  • Implementing performance management, including personal development plans and addressing non-conformance when necessary.

Systems Management
  • Overseeing the use and development of scheduling tools to ensure they meet business requirements.

  • Defining and documenting procedures for scheduling systems and associated tools to ensure consistency and accessibility.

  • Managing shared client portals and internal document management systems.

Resource Planning & Utilisation
  • Meeting vehicle and resource utilisation KPI targets, with reporting to senior management.

  • Conducting strategic resource reviews to forecast personnel, vehicle, and equipment needs.

  • Balancing operational efficiency with cost-effectiveness while maintaining high service standards.

Planning Team Response Development
  • Developing a comprehensive guide detailing response strategies, escalation protocols, and communication best practices.

  • Leading the team in effective internal and external communication.

  • Establishing escalation procedures for major incidents, including emergency response planning and third-party coordination.

Internal & External Request Fulfillment
  • Ensuring internal requests are processed efficiently to support business functions.

  • Coordinating with the Transport Management team to schedule vehicle maintenance while maintaining service commitments.

Delivery Performance Management
  • Representing the company at client meetings and ensuring the Planning Team maintains service quality.

  • Ensuring compliance with service level agreements (SLAs) and client expectations.

  • Producing detailed post-incident reports and tracking procedural adherence.

Stakeholder Communication & Liaison
  • Setting standards for clear and timely communication between the Planning Team and business stakeholders.

  • Maintaining regular liaison with commercial and contract teams to align on workload and capacity.

  • Acting as the primary escalation point for logistics-related issues, including participation in client meetings.

  • Reporting to senior management in executive meetings as required.

Qualifications:
  • Extensive experience in logistics management, including strong knowledge of transport regulations.

  • Proven leadership skills with a track record of managing and developing teams.

  • Excellent communication, presentation, and organisational skills.

  • Strong analytical ability with attention to detail.

  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications:
  • Transport Manager CPC (Certificate of Professional Competence).

  • Formal management qualifications.
