Job Title – Shipping Administrator – Part time
Salary – £28-30k Dependant on Experience (Pro-Rata)
Location – Rugby
Hours – 25 – 30 hours – standard office hours are Monday to Thursday 8.30am to 5.30pm and 8.30am to 1.00pm on Friday

Purpose of the Shipping Administrator role:
The Recruitment Group is working with a laser manufacturer who are looking for a Shipping Administrator to join their team. Working in a small, collaborative team, the role of the Shipping & General Office Administrator will be to arrange and to manage relevant customs documentation for UK/Worldwide shipments of laser systems and spare parts.

Main duties and responsibilities of a Shipping Administrator:
- Liaising with customers and suppliers to arrange UK and Worldwide shipments of lasers, spare parts and components
- Liaising with freight forwarders and couriers
- Obtaining quotes from freight forwarders and couriers
- Preparing import/export documentation i.e. producing commercial invoices, packing lists etc
- Obtaining certified documentation where relevant
- Dealing with customs queries
- Import customs clearance instructions
- Maintaining and understanding export and import records, obtaining C88, Import/Export entries and AWB, querying when necessary
- Support with Service department administration, including preparing quotations, packing and shipment
- Sales order processing
- Credit control
- General Office Tasks – Answering the phones, managing shared email accounts, filing, laser manual printing
- Liaising with colleagues across all levels of the business, dealing with ad hoc requests as required

Experience/knowledge requirements for a Shipping Administrator:
- Experience in Export compliance and shipping is essential
- Good decision-making skills, ability to evaluate, prioritise and plan while responding to quickly changing workloads  Â
- A methodical, logical approach with good problem-solving abilities
- Conscientious with a high level of attention to detail
- Able to work on their own initiative within a time critical setting and as part of a team
- Customer focused
