Job Title: Site Administrator

Location: Torrington Avenue, Coventry

Hours: 37.5

Role Purpose

The overall purpose of this position is to be responsible for all administrative functions on site including personnel, payroll, purchasing and other administrative duties where required.

Main Duties and Responsibilities

  • Maintaining holiday records
  • Maintaining knowledge of the whereabouts of designated individuals
  • Answering the phone professionally, taking messages and passing them on
  • Receiving and distributing incoming post and issuing outgoing post
  • Monthly H&S KPI reporting
  • General administration duties as and when required
  • Creating and tracking POs for all departments
  • Supporting KPI reports
  • Update and maintain the appropriate personnel records / Training records
  • Produce contracts of employment for non-salaried staff where required
  • Update and maintain the time and attendance system, where appropriate
  • Support training and maintaining training records
  • Assist in minute taking during investigation / disciplinary meetings
  • Track and file all toolbox talks, start of shift briefings, H&S / quality sign offs
  • Keeping employee contact list up to date
  • End of month agency and contractor hours reporting
  • Update lateness / absence trackers and create report for attendance awards
  • Providing a backup point of contact for site payroll issues
  • Reporting of payroll issues to contract manager
  • Raising of Purchase requisitions by the necessary authority.
  • Expediting of orders and liaison with suppliers to ensure timely delivery of goods.
  • Individual ordering and receipting of workwear
  • Issue to relevant individual
  • Achievement of yearly personal targets and objectives
  • Feedback from internal colleagues and senior management
  • Completion of all tasks and projects within agreed timeframes

Qualifications, Knowledge and Experience

Essential

  • Previous Administration experience
  • Highly proficient in excel, able to understand a range of data and create reports
  • Able to engage and communicate with the cross functional teams within the business
  • They will need to be a good communicator with the ability to communicate ideas.

Desirable

  • Educated to GCSE level or equivalent, to include Maths and English
  • Ability to decipher data and produce concise summary reports for senior management
  • Understanding of the impact the engineering function has on a manufacturing business
