My Client is seeking a highly organized and proactive Warehouse & Production Administrator to provide administrative support to the warehouse and production management teams. This role will assist in coordinating the day-to-day operations of the warehouse and production facility, ensuring efficient processes, accurate documentation, and effective communication between departments.

The ideal candidate will have excellent attention to detail, strong multitasking abilities, and the drive to support the overall success of the team.

Key Responsibilities:

  • Assist the Warehouse Manager with daily operational tasks and coordinating team activities.
  • Prepare, organize, and maintain warehouse documentation such as inventory reports, production schedules, delivery logs, and supplier communications.
  • Manage office correspondence, including emails, phone calls, and memos, ensuring timely responses and action items are followed up on.
  • Process orders and prepare shipping documents (invoices, packing lists, etc.) for distribution.
  • Respond to customers inquiries related to inventory, order status, product availability etc.
  • Assist in handling returns, exchanges, or complaints
  • Effective communication with departments across the company and Head Office.
  • Ensure that all warehouse operations comply with food safety regulations.
  • Support the Warehouse Manager in preparing reports for regulatory audits and maintaining records related to food safety and quality assurance.
  • Assist with creating and maintaining safety documentation and ensuring team adherence to policies and procedures.
  • Input and maintain accurate data on Excel Spread sheets and warehouse management systems (WMS) for stock levels, order details, shipping records and Goods In.
  • Provide general support to the warehouse and production team to ensure smooth dayto-day operations.
  • Support employee onboarding and training for new warehouse staff members, ensuring they follow company policies and procedures and complete all required training.
  • Organise, File and Archive documentation for traceability and auditing purposes.

Requirements:

  • Extremely well organised with experience in archiving documents for traceability and auditability
  • Extremely good communication skills
  • Computer literate is essential (Microsoft Excel, Word, PowerPoint, Outlook, Teams)
  • Experience in WMS systems
  • BRC Certification standards aware
  • Background in Food Production and Distribution, desirable.
