Business Admin Apprentice (Operations)

Our client is a popular food manufacturer who is known across the world. They currently seek a Business Admin Apprentice to work in their Operatations Department in Coventry to carry out administration support to the team. The role holder will also undertake some general reception duties and preparation for VIP visits.

The Apprentice will work onsite for 37.5 hours per week (Mon-Fri, 8am-4:30pm). The apprenticeship will last for 18 months and successful completion of the qualification could lead to a permanent role within the company.

Duties will include:

Visitor & Contractor Management:

  • Greet visitors and contractors politely, inform their site contact of arrival.
  • Ensure compliance with Health and Safety, Food Safety, and Mobile Device policies for visitors.

Lockers & Garments Management

  • Maintain employee locker allocation system, notify garment supplier of changes, ensure timely provision of lockers and garments.
  • Update garment supplier with new starters and leavers information in a timely manner
  • Be the first point of contact for staff with locker or garment issues

Meeting Room Preparation:

  • Prepare the board room for VIP visits, ensure cleanliness, arrange refreshments/catering, handle taxi arrangements, and print boarding passes if needed.
  • Keep the reception and visitor seating area tidy and monitor meeting room bookings.

Post & Communication Management:

  • Handle franking and sorting of incoming and outgoing post, inform employees of parcel deliveries.
  • Answer telephone calls and transfer them to the appropriate employees, whilst maintaining company policy.

Site Security & Emergency Protocols:

  • Monitor site security, report suspicious activity to management.
  • Ensure visitor and employee registers are maintained, manage role call during evacuations.
  • Issue door cards to new starters and existing staff, adhering to company policy on the cost of replacement cards for existing staff.

Ad-Hoc Administrative Support:

  • Perform general ad-hoc duties as required.
  • Support different departments with administrative tasks.
  • Communicate with the vending company to resolve any issues staff face with vending machines.

Required knowledge, skills or experience:

  • Excellent IT skills: Proficiency in Microsoft Excel, Word, and email systems is essential for handling data, documents, and communication efficiently.
  • Professional, confident, and 'can do' attitude: Demonstrating a positive and proactive approach to tasks, interactions with visitors, and supporting various departments.
  • Strong organisation and time management skills: Ability to prioritise tasks, manage multiple responsibilities effectively, and meet deadlines in a dynamic work environment.
  • Excellent communication skills: Clear and effective communication both verbally and in writing, ensuring information is conveyed accurately and professionally.
  • Meticulous record-keeping and attention to detail: Maintaining accurate records of visitor logs, locker allocations, inventory management, and other administrative tasks with precision and thoroughness.
