IBP are currently recruiting an Administrative Assistant to cover 10 months Maternity leave in Cramlington. We are looking for an individual who has a good administration background who can manage & own this work stream. 

Reporting to the Senior Administrator, the ideal candidate will be responsible for collating documentation (photographic evidence), produce job packs, generate safe digs & assist the administration team in general duties.

You will be required to monitor the shared inbox for incoming photographs from site & transfer this information to the relevant trackers. You will ensure that job packs include the most up to date documentation (plots, SLDs, safe digs), maintain folder structures on the company shared drive, produce & maintain operational trackers, & assist with any other operational requests from the teams.

The main duties include but are not limited to:

  • Work with the team to allocate resource for any additional picture requirements
  • Assist in onboarding of new employees
  • Track & check quality of post completion images for build close out
  • Submission of daily & weekly whereabouts
  • Update trackers to ensure deadlines are met
  • Monitor & submit safe dig requests for civils activities
  • Point of contact for HR, IT & policy queries
  • Engineer & team overtime submissions
  • Admin support to Managers, supervisors and on-site engineers if required
  • Stationary and IT Equipment orders
  • NOI Management

The Ideal candidate must possess the following skills and experience:

  • Excellent computer skills including strong understanding of Excel
  • Outstanding attention to detail
  • Ability to multi-task
  • Good interpersonal skills
  • Self-motivated, result driven and thrives in a busy working environment
  • Processing information effectively
  • Flexible approach to changing needs of business
  • Good communication skills both written and verbal
  • Excellent administration skills, with a “quick to learn” ability.
