With steady organic growth and an increasing number of service users, we are seeking a highly organised, proactive, and detail-oriented Part-Time Executive Assistant to support our Managing Director, based in our office in Crawley, West Sussex. This is a pivotal role, acting as the key point of contact for executives, employees, clients, and external partners. You will ensure seamless communication, manage daily operations, handle confidential information, and support both strategic projects and personal affairs with discretion and efficiency.

You'll be working directly with the sole founder of PA Services, a business grown organically through hard work, dedication, and a deep commitment to our values. Our Managing Director is an award-winning entrepreneur, recognised as a game changer in their field and named Entrepreneur of the Year by the Sussex Chamber of Commerce. They were also runner-up for Gatwick Diamond Business Person of the Year in 2025.
The Managing Director is highly driven, inspirational and neurodivergent bringing a unique and creative approach to everything they do. They are deeply passionate about the company's mission and values and have built a business based on doing things the right way.
This fast-paced, ever-evolving environment can be somewhat chaotic, so the role requires someone with a strong backbone, the ability to stay organised, and a great sense of humour to handle the lively nature of the work.
Key Responsibilities
Executive and Personal Support
- Manage the Managing Directors calendar, appointments, and meetings
- Anticipate needs and provide proactive support across both professional and personal matters
- Organise personal schedules, travel, events, gifting, and personal appointments with discretion
Office and Administrative Management
- Oversee daily office operations, including managing office supplies and facilities
- Screen and direct incoming calls, manage correspondence, and maintain office filing systems
- Format and prepare internal and external communications, including memos, reports, emails, and presentations
Meeting and Project Coordination
- Coordinate and facilitate meetings, prepare agendas, take minutes, and ensure follow-up on action items
- Support special projects, including financial administration and charitable initiatives
- Conduct research, compile data, and prepare reports and briefings to support strategic decision-making
Communication and Stakeholder Management
- Act as a primary point of contact between executives, employees, clients, and external partners
- Manage social media accounts and maintain regular communication with existing and prospective customers
- Handle sensitive information with the highest level of confidentiality and professionalism
What Were Looking For
Were looking for a highly capable, trustworthy individual with:
- Experience: At least 5 years in a senior Executive Assistant or Office Management role
- Organisational excellence: Outstanding time management, prioritisation, and multitasking abilities
- Communication skills: Exceptional verbal and written communication across all levels
- Technical proficiency: Strong Microsoft Office skills (especially Excel) and experience with CRM, database, and project management tools
- Administrative expertise: Skilled in document preparation, record keeping, and office management
- Discretion and integrity: Proven ability to handle confidential information with the utmost professionalism
- Problem-solving ability: A proactive approach to anticipating needs and resolving issues
- Compliance awareness: Familiarity with legal, regulatory, and health & safety standards is a plus

Role Details:
- Part-time: 20 hours per week (ideally split across 4-5 days)
- Equivalent full-time salary: Up to £28,000 per annum (pro-rata salary of up to £14,000 per annum)
