We are seeking a proactive and organised Office Administrator to join a great team and client of ours in the Croydon area. This role involves a wide range of administrative tasks, from setting up new projects on internal systems to supporting various departments including HR, Marketing, and Health & Safety. The ideal candidate will be an excellent multitasker with a keen eye for detail and a strong ability to meet deadlines.
Day-to-day of the role:- Set up new projects on all internal systems and update project bookings on the resource management software.
- Assist in the preparation and creation of reports, presentations, and other documentation as required.
- Perform data entry tasks accurately and promptly, maintaining databases and spreadsheets.
- Create and issue purchase orders and ensure the PO register is kept up to date.
- Arrange meetings and organise company events such as team meetings and Christmas meals.
- Provide general support such as filing, photocopying, and scanning documents.
- Order stationery for offices and provide other ad-hoc administration duties as required.
- Support with CAD requests from the engineering team, record and forward the relevant documentation.
- Assist the HSQE lead with administrative tasks to support the maintenance of the quality and environmental management systems (ISO 9001 and 14001).
- Maintain the supplier database, issue supplier questionnaires, and ensure all supplier insurances and other documents are up to date.
- Support in creating and updating project case studies and CVs.
- Assist the management team with project bids, including the completion of PQQs and third-party supplier questionnaires.
- Support the HR manager in arranging employee appraisals and coordinating interviews and onboarding new employees.
- Proven experience in an administrative role.
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and familiarity with resource management software.
- Ability to handle confidential information.
- Knowledge of ISO 9001 and 14001 is advantageous.
