Senior Property Manager

Are you ready to make a real impact in property management? We're looking for an organized, proactive, and energetic individual to support our team in efficiently managing a diverse property portfolio based in South-East London. Your role will focus on ensuring the smooth running of tenancies, reducing void periods, and maximizing rental income, all while providing high-quality service to both tenants and landlords.

Key Responsibilities:

Client Care

  • Follow established policies and procedures consistently.
  • Prepare detailed reports for management (e.g., Vacant Unit Reports).
  • Make recommendations and take action to enhance portfolio management.
  • Prioritize and manage risks and liabilities.
  • Build and maintain strong relationships with tenants and landlords, delivering exceptional customer service.
  • Always seek value for money and act with a commercially focused mindset.
  • Collaborate with colleagues to protect the organization’s interests.

Tenancy Management

  • Understand and manage various tenancy types and associated obligations (e.g., Freehold, Head Lease, Lessee).
  • Oversee new lettings, renewals, rent reviews, and other tenancy processes.
  • Work with approved agents for market appraisals and refurb recommendations.
  • Minimize void periods and maximize rental income.
  • Ensure compliance with all licensing requirements and avoid creating HMOs.
  • Conduct tenant reference checks to ensure the suitability of applicants.
  • Coordinate with solicitors on tenancy agreements and specific clauses.
  • Oversee inventories, check-in/check-out reports, and resolve deposit disputes.
  • Manage utility supplies during tenancy transitions.
  • Communicate professionally with tenants through various channels (emails, letters, newsletters).
  • Maintain accurate property records and use our Property Management System to manage data and processes.
  • Handle insurance claims, property inspections, and maintenance issues efficiently.
  • Attend court hearings as needed for landlord-tenant disputes.
  • Ensure compliance with all statutory obligations (e.g., EPC, Right to Rent, Smoke & CO Regulations).

Maintenance & Repairs

  • Address reactive maintenance issues promptly to ensure compliance with repair obligations.
  • Plan and manage maintenance schedules and contractor work.
  • Audit completed works and approve payments.

Health & Safety

  • Arrange pre-tenancy safety checks and ensure ongoing compliance with safety regulations.
  • Manage H&S across the portfolio using our information systems, addressing any issues promptly.
  • Review inspection reports and implement any necessary remedial actions.

Financial Management

  • Work with the Rent Administrator on arrears and instruct solicitors if needed.
  • Oversee rent reviews in line with procedures.
  • Address queries regarding expenditures raised by auditors and senior management.

Skills & Experience:

  • Strong knowledge of Landlord and Tenant law, Health & Safety regulations, and industry best practices.
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time management abilities.
  • Ability to manage multiple tasks efficiently under pressure.
  • Proficient with IT (Outlook, MS Word, Excel). Knowledge of Horizon/Qube is a plus.
  • A collaborative team player with a commitment to high service standards.

Entry Requirements:

  • At least 2 years of experience in a similar role
  • Ideally degree-level education or A-levels (grades A-C).
  • MARLA qualification is preferred
  • Due to the nature of this role, a driver’s licence and access to a vehicle is required (Mileage paid)

Working Hours & Environment:

  • Hours: 9:00 AM to 5:30 PM, Monday to Friday
  • Hybrid - Home/On site 2 days per week
  • An opportunity to manage a London based portfolio of up to 230 properties
