Compliance and Tender Administrator

We are seeking an Administrative Support Specialist to manage our tendering processes and ensure compliance across various departments. This role is ideal for a strategic thinker with robust administrative and project management skills, who excels in a fast-paced environment and can meet tight deadlines. The successful candidate will report to the Compliance Manager and will be instrumental in supporting senior staff.

Day-to-day of the role:

  • Provide general administrative support including diary management, handling sensitive information, and managing expenses.
  • Identify potential tender opportunities using various channels and platforms, and assist in evaluating these opportunities to align with the company’s strategic goals.
  • Manage the end-to-end tender process, from drafting and preparation of documents to submission, ensuring compliance with technical, commercial, and legal requirements.
  • Collaborate with cross-functional teams to gather necessary information and insights for tender preparation.
  • Lead tender review meetings to ensure alignment and informed decision-making among stakeholders.
  • Maintain a comprehensive database of all tender submissions, tracking outcomes and integrating feedback into future submissions.
  • Support the Compliance Manager in ongoing compliance tasks, audits, and training related to ISO certifications.

Required Skills & Qualifications:

  • Proven administrative experience in a dynamic organisation.
  • Familiarity with public sector procurement and tender processes.
  • Strong project management and organisational skills.
  • Excellent communication skills, both written and verbal.
  • High level of proficiency in Microsoft Office Suite.
  • Ability to work both independently and as part of a team.
  • Strong problem-solving and decision-making abilities.
  • Desirable: Experience in public sector tendering and/or procurement.
  • Desirable: Experience with ISO and compliance programmes.
