Reed Business Support are seeking a highly organised and proactive EA to support their clients' Group CEO and Directors. This role is crucial in managing the day-to-day administrative tasks, ensuring smooth operations within the senior leadership team (SLT). The ideal candidate will have a proven track record in a similar role, supporting senior management with a strong focus on confidentiality and efficiency.

This role is Monday - Friday, 37.5 hours per week - flexible with start and finish times and this is FULLY OFFICE BASED - THERE IS ZERO REMOTE WORKING!

Day-to-day of the role:
  • Diary Management and Meeting Coordination:

    • Manage complex diaries for the SLT, prioritising engagements and scheduling meetings.
    • Coordinate both internal and external meetings, prepare agendas, circulate documents, take minutes, and ensure follow-up on tasks.
    • Handle logistics for meetings including room bookings and organising refreshments.
  • Communication and Correspondence:

    • Serve as the first point of contact for the SLT, managing and responding to communications.
    • Draft, proofread, and format various documents including correspondence, reports, and presentations.
    • Facilitate effective communication between the SLT, departments, stakeholders, and external partners.
  • Project Support:

    • Provide administrative support for projects led by the SLT, track timelines, compile reports, and manage documentation.
    • Assist in coordinating SLT-led events and initiatives.
  • Travel Arrangements:

    • Organise travel arrangements for the SLT, including booking flights, accommodations, and transport.
    • Prepare detailed travel itineraries and manage necessary travel documentation.
  • Document Management and Reporting:

    • Maintain accurate records and manage confidential documents.
    • Prepare and analyse reports and presentations for SLT meetings and strategy sessions.
  • Office Management:

    • Ensure the efficient running of the SLT office, managing supplies and resources.
    • Collaborate with other administrative teams across the organisation.
    • Manage HR functions and assist with disciplinary procedures through the Citation system.
  • Confidentiality and Discretion:

    • Handle sensitive information with the highest level of confidentiality and professionalism.
    • Exercise discretion in managing communications and tasks related to SLT activities.
Required Skills & Qualifications:
  • Proven experience in a similar EA/PA role supporting senior management.
  • Strong organisational skills, able to manage multiple priorities and work to tight deadlines.
  • Excellent communication skills, both written and verbal.
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and proactively with minimal supervision.
  • Strong attention to detail and problem-solving skills.
  • Proven ability to handle confidential information with discretion.
