Our client is looking for an Office Administrator to join their fast paced and growing team based in Crayford!

Main duties include, but not limited to:

  • Ensure visitors are properly signed in and that all protocols are followed. Also, that they are aware of company and local site procedures in the event of any unplanned event e.g. fire alarm, site evacuation, first aid requirement etc.
  • Ensure that all equipment used to perform 'Examination and test of new lifts before putting into service’ is calibrated. Ensure records are maintained
  • Ensure that all portable electrical appliances are tested (PAT) within the required timescale (office and field). Ensure records are maintained
  • Manage the company fleet, inc. vehicle servicing, MOTs, fuel cards, vehicle tracking and consumables (tyres, exhausts, windscreens, etc.
  • Manage and maintain databases, inc. approved suppliers, inventory control and training (book internal/external courses and refresher training as req’d), etc.
  • Communicate and track as necessary controlled documents via document control
  • Work with the management team to ensure data protection compliance
  • Provide administration support to the company’s Compliance Manager
  • Assist with any necessary security checks (e.g. DBS) for company employees
  • Assist the Office Manager with monthly Premises checks inc. First Aid box checks
  • Assist with day to day office duties inc. maintaining stationary stock levels, etc.
  • Answer and direct incoming telephone calls as appropriate
  • Book hotel, travel and meeting reservations for management/staff as required
  • Control PPE/RPE stock. Ensure all staff are equipped with the correct equipment, monitor issue/return for all employees
  • Liaise with company external infrastructure/system providers (IT, 24/7 call centre, mobile service provider, etc.) to advise of updates or to report faults
  • Contribute to any processes for employee consultation and participation
  • Distribute and monitor information communications
  • Manage contract renewals, contacting customers/clients in advance of expiry

Note that the above list is not exhaustive and the jobholder will be expected to undertake duties within their capacity to meet the ongoing needs of the business.

Experience and qualifications required:

Industry experience not necessary but having worked in an engineering background advantageous

  • Proven administration experience
  • Proficient in IT and Microsoft Office
  • Strong organisational skills with high level of attention to detail and accuracy
  • Good communication (verbal and written), negotiation and relationship- building skills
  • Adept at problem solving and dispute resolution
  • Experience of maintaining confidential records
  • Strong organisational skills with the ability to multi-task
  • Excellent customer care and time management skills.
  • Professional telephone manner
  • Ability to work under pressure
  • Positive and 'can do’ attitude
