Due to continued growth, we are looking for a Private Client Paralegal/Senior Secretary to join our dynamic team.
Role Overview:
The main responsibility of this role is to support our Private Client team at Ilkeston. We're looking for a Paralegal or Senior Secretary with experience in Will drafting, Power of Attorney drafting, Trust drafting, and handling the administration of executries and probate. The role will involve a variety of tasks, providing support across all aspects of Private Client work. The successful candidate will need to work well with both junior and senior colleagues to ensure smooth operation of the team.
Key Responsibilities:
The duties of this role will vary based on your previous experience and ongoing training. Your Line Manager will guide you through your responsibilities, and full training will be provided where necessary. In general, your main tasks will include:
- Preparing letters and legal documents such as wills, contracts, and court papers.
- Taking client instructions in person or via video call.
- Working from verbal instructions and notes.
- Answering phone calls professionally.
- Handling enquiries from clients, professional advisors, and opposing solicitors through email, fax, and letter.
- Managing client files and records, including opening files, identifying clients, storing documents, and archiving.
- Scheduling appointments and managing diaries using paper and electronic systems.
- Preparing forms and statements.
- Keeping track of costs and expenses.
- Delivering and collecting documents as needed.
- Conducting client home visits (if required).
- Managing file ledgers, including invoices, completion statements, and payments.
- Copying, scanning, faxing, and preparing large files.
- Undertaking other tasks as directed by the Director(s), in line with your experience and role.
- Handling administrative duties, such as completing timesheets and assisting with client billing.
- Referring client inquiries to the relevant departments within the firm.
Requirement
- Previous experience working in a Private Client department
Skills and Experience Required:
- Proficient in Microsoft Office with strong typing skills.
- Experience in a client-facing role.
- Excellent telephone etiquette.
- Strong time management skills.
- Well-organised and able to prioritize tasks effectively.
- Good communication skills.
