Our client, an esteemed organisation in the health care industry, is seeking a skilled and experienced Team Secretary and Project Support Officer to join their dynamic team.

This is a temporary position offering a competitive hourly rate of £20.59.

As the Team Secretary and Project Support Officer, you will play a vital role in delivering a comprehensive and efficient support service to the Project Programme Office. Working closely with the Programme team, you will take on the responsibility of managing designated elements of the programme, facilitating meetings, preparing reports, and monitoring progress. It is essential that you demonstrate a high level of confidentiality and professionalism in this role.

Key Responsibilities:

  • Provide a full range of secretarial and administrative duties, including typing, word processing, and generating routine correspondence
  • Handle incoming calls and redirect them appropriately, ensuring effective communication within the team
  • Organise and maintain diaries, prepare papers for appointments, and ensure timely follow-up on outstanding enquiries and actions
  • Coordinate and facilitate meetings and workshops, including taking minutes and transcribing them accurately
  • Arrange travel, accommodation, and other logistics for the Programme
  • Utilise available technology to produce reports, graphics, and statistical analyses
  • Liaise with suppliers, manage invoices and orders, and maintain budgetary control
  • Act as the initial point of contact for project correspondence
  • Maintain a pleasant working environment and promote an inclusive culture

Required Qualifications and Skills:

  • Educated to Degree level or equivalent experience gained
  • RSA Stage III Typing or equivalent level of experience
  • Significant experience working at a senior secretary level or equivalent
  • Experience in programme and/or project management, including the development of frameworks and monitoring processes
  • Strong proficiency in information management software, including advanced Microsoft skills
  • Excellent communication and interpersonal skills
  • Proven ability to work independently, prioritise workload, and meet deadlines
  • Understanding of change management and configuration management
  • Knowledge of PRINCE2 techniques or equivalent
  • Familiarity with Public Sector
