Migrant Help are hosting an exciting and unique opportunity to recruit an Administrator. You will join us on a full-time, permanent basis and in return you will receive a competitive salary of £24,603 increasing to £27,700 following successful completion of a 6 months probation period. This role is hybrid, based in Kent.

About the role:

You will be joining an established People & Culture function that strives to deliver high standards of support across the organization. This role will sit within the Talent & Culture arm and support our OD team in line with the ongoing and long-term continuous improvement of employees’ personal development and organisational learning. As an Administrator supporting Organisational Development (OD) team, you will handle a variety of administrative tasks to ensure the smooth operation of the team. Your duties will include responding to queries, scheduling meetings and events, preparing reports and maintaining the OD database.

Key responsibilities of our Administrator:

  • Provide administrative support and communication for learning events, making sure the required facilities, equipment and materials are available and suitable for use.
  • Provide first line advice on OD policies and processes.
  • Coordinate training, communicate with all stakeholders, and assemble room layout for onsite events.
  • Minimise and manage cancellations and non-attendance on learning events through effective communication with all parties and the relevant line managers.
  • Provide support to employees accessing training through online mediums.
  • Record, monitor and report on learning and development activity within agreed SLA’s and generate training data as required.
  • Raise / record Purchase Orders and organise external course bookings.
  • Contribute to the identification and implementation of process improvements within the team.
  • Responsible for effective data management for electronic records to enable accurate reporting and monitoring, in line with legislation and audit requirements.
  • Maintain the Learning Management System (LMS) to ensure it is up to date with inhouse courses/modules and that the system information is accurate.

Skills and experience we are looking for in our Administrator:

  • A good standard of Maths and English qualifications
  • Demonstrable experience of working in an administrative role(s).
  • Creating documents and communications i.e. reports, emails and meeting minutes and/or action plans.
  • Experience of communicating with a range of employees at all levels of an organisation.
  • Experience of handling operations, managing schedules, and resources efficiently.
  • Experience of working to deadlines and coordinating others to set timeframes and managing adherence
  • Working within a team but responsible for delivery of own workload and objectives.
  • Experience of managing own time and workload effectively.
  • A good grasp of utilising technology to create better accessibility of information with technical competence in using ‘cloud based’ software products including SharePoint

  • This post is subject to Disclosure and Barring Service (DBS) check
  • There may be occasions where you will be required to work outside of your contracted hours, depending on operational need, and therefore flexibility is required.
  • The team supports staff nationwide, so occasional travel to regional offices is required for engagement activities. This includes visits to regional venues for training, delivery, and attending training sessions for personal development.
