Export Documentation Specialist - Bills of Lading

Monday - Friday: 8.30AM - 5.00PM

This role is essential for ensuring accurate and timely shipping documentation, and the successful candidate will demonstrate exceptional attention to detail and take pride in delivering high-quality work. This role is based in the office and does not offer remote or Hybrid working.

Day to Day Duties

  • Prepare Bills of Lading Instructions: Accurately raise bill of lading instructions based on the shipper's invoice or specific shipping instructions.
  • Document Submission: Submit completed bills of lading to the appropriate suppliers via our company's systems or through online portals provided by ocean carriers.
  • Document Amendments: Make necessary amendments to documents as required to ensure compliance and accuracy.
  • VGM Entry: Enter Verified Gross Mass (VGM) data through online portals such as CNS or Destin8.
  • Certificate Completion: Complete origin certificates, including ATR and EUR1, when necessary.
  • Deadline Management: Work efficiently within tight deadlines imposed by customs and bill of lading requirements.
  • Document Approval and Distribution: Approve finalized bills of lading and arrange for their dispatch to customers

Essential Skills

  • Experience: A minimum of 2 years of hands-on experience with bill of lading documentation in a relevant field is mandatory.
  • Technical Proficiency: Ability to raise bill of lading instructions and navigate carrier websites, ensuring all documentation is correct and compliant.
  • Team Collaboration: Proven ability to work effectively as part of a team.
  • Customer Service: Strong customer service skills, with a focus on building and maintaining positive relationships.
  • Problem-Solving: Capable of using initiative to resolve daily challenges related to documentation.
  • Technical Skills: Proficient in Microsoft Word and Excel.
  • Attention to Detail: Meticulous attention to detail to ensure all shipping documents comply with various legal and procedural requirements.
