Office Manager / PA - Portishead - £27,000 pro rata - 25 hours per week - on site

We are delighted to be partnering with an award winning design company based in Portishead who are looking to recruit an experienced Office Manager / PA. In this highly professional and busy environment you will be regularly liaising with the directors, clients, consultants, and internal departments to provide PA support and ensure the smooth and efficient running of the office.

Office Manager / PA duties include:

  • Managing the Director's diary while being mindful of external meetings and travel times and venue arrangements.
  • Monitoring emails for the Director and taking action when required, including liaising with other members of the team to ensure meetings and deadlines are not missed.
  • Assisting Directors by arranging meetings, preparing/co-ordinating information to take to meetings, ensuring project files are up to date for meetings.
  • Organising virtual meetings and circulating invitations and teams links.
  • Assisting in the implementation and overseeing & monitoring the office procedures.
  • Produce the Director's monthly expenses and submit to the accounts.
  • Plan printing, photocopying and binding.
  • Greeting clients and visitors to the office and organising refreshments and lunch for meetings when required.
  • Taking incoming phone calls and messages for the team and taking any relevant actions where appropriate.
  • Typing letters and correspondence for the Director and Associates.
  • Proofreading of documents e.g. Design and Access Statements, with a good eye for detail.
  • Typing Board meeting minutes from audio, circulating agendas and ensuring actions from meetings are undertaken.
  • Maintaining records (e.g. staff qualifications, training, H&S documentation) in order to compile Health and Safety accreditation applications (SMAS and CQMS).
  • Assisting HR with the induction of new employees/work experience individuals as/when required..
  • Ensuring any building or equipment maintenance is carried out.
  • Assist the internal events team as/when required.
  • Oversee the facilities and H&S checks of the office.
  • Concierge service to the Director for non-business requests
