We are seeking a friendly, professional, and highly organised Receptionist/Administrator who is available immediately to join our client in the healthcare sector based in Dumfries & Galloway to start in a temporary contract until October 2024. The ideal candidate will manage reception duties, provide outstanding customer service, and contribute to the smooth operation of our office.

Key Responsibilities:

  • Greet and assist visitors, ensuring they feel welcomed and are directed to the appropriate staff or department
  • Answer and manage incoming calls, addressing inquiries, and directing calls to the appropriate individuals or departments.
  • Schedule and coordinate meetings, appointments, and events and maintain and update calendars as necessary
  • Receive, sort, and distribute incoming mail and packages by preparing and sending outgoing correspondence
  • Perform basic clerical tasks including data entry, filing, and managing office supplies.
  • Provide excellent customer service by responding to client inquiries, resolving issues, and offering information about the company's services and products.
  • Ensure the reception area is clean, organised, and presentable

Requirements:

  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
  • Excellent verbal and written communication skills.
  • Strong organisational and multitasking abilities.
  • Friendly and professional demeanour with strong customer service skills.
  • Ability to handle sensitive information with confidentiality.
