We are excited to announce a new opportunity for an experienced Secretarial Administrator to join our proactive administration team in Dundee. This is a fantastic role for someone who enjoys working in a professional office environment and thrives in a role where ownership, attention to detail, organisation, and communication are key.

Main Responsibilities:

• Provide PA support to assigned partners, including managing diaries, scheduling appointments, preparing weekly reports, and handling any ad hoc tasks as needed.

• Deliver administrative support to assigned departments, including file management, updating the client database, scanning, photocopying, and assisting with ad hoc projects.

• Provide accurate and efficient typing services for all departments, including correspondence, reports, tenders, letters, and accounts.

• Attend meetings to take minutes and produce accurate records of the discussions.

• Format complex tenders and other documents to ensure consistency and standardisation across all administrative materials.

• Perform any other reasonable duties as required, including covering reception and facilities such as reception and switchboard, setting up meeting rooms, and stocking the kitchen.

Our Ideal Candidates Will Be:

• Educated to Higher Level (or equivalent) with a strong pass in English.

• Experienced in administrative or secretarial roles within a professional setting, ideally in accountancy, legal, property, or insurance sectors.

• Demonstrate excellent organisational skills and a keen eye for detail.

• Possess strong IT skills and be comfortable using various office software.

• Able to work autonomously, take ownership, and ensure tasks are driven to completion.

• Enthusiastic, proactive, with a ‘can-do’ attitude.

• Used to working with digital and document management software.
