Shift Pattern - Full Time - Monday - Friday - 9am - 5pm - for first 2-3 weeks

Opportunity for Wednesday PM shift and Thursday and Friday 9am - 5pm - for 2 weeks thereafter

Responsibilities:

Our client, a manufacturing company based in Dundee, is seeking an enthusiastic and highly organised Receptionist to join their team on a temporary basis. As the first point of contact for internal and external customers, you will play a vital role in providing exceptional customer service while ensuring efficient office administration and reception services.

Key Responsibilities:

  • Manage enquiries through telephone calls and face-to-face interactions.
  • Assist with travel arrangements for visitors, including hotel bookings, airport shuttles, and taxis.
  • Issue building access cards to authorised personnel.
  • Co-ordinate and arrange meetings and events, handling catering, setup, clean-up, and logistics coordination.
  • Maintain and update spreadsheets and databases accurately.
  • Manage stationery supplies, Personal Protective Equipment (PPE), and new starter setup.
  • Update and maintain company time and attendance information, providing accurate payroll and accounts reporting.
  • Provide ad hoc secretarial support to management

Person Requirements:

To excel in this role, the ideal candidate will possess the following qualifications and skills:

  • Excellent customer service and administration skills, with previous reception/front desk experience preferred.
  • Highly organised and detail-oriented.
  • Excellent numeracy and English language skills, both spoken and written.
  • Flexible and adaptable approach to work.
  • Ability to manage a variable workload with conflicting priorities independently.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) is essential, along with the ability to learn new software quickly.
  • Highly reliable and polite, with a pleasant and confident telephone manner.
  • Excellent communication skills, both verbal and written.
  • Collaborative, able to work effectively with individuals at all levels and functions.
  • A high level of discretion and respect for confidentiality.
  • Strong analytical and problem-solving skills, coupled with an innovative approach.
