We are partnered with an international law firm who are looking for an experienced and proactive Legal PA to join their Corporate team in Edinburgh. This role is ideal for a highly organised professional who thrives in a fast-paced legal environment and enjoys supporting senior stakeholders.

As a Legal PA, you will play a crucial role in ensuring the seamless operation of the team by providing high-quality administrative support to Partners and fee earners. Your responsibilities will include complex diary management, billing and matter coordination, business development support, and wider operational assistance.

KEY RESPONSIBILITIES

  • Collaborate with Finance teams to assist fee earners with client billing, financial reporting, and overall matter coordination.
  • Support Business Development initiatives by organising and attending events, managing CRM records and assisting with bid and tender submissions.
  • Coordinating core team meetings, organising client events, and preparing client reports.
  • Oversee all aspects of matter inception, ensuring correct rate application, timely preparation of engagement letters, and liaising with the Business Acceptance Unit as needed.
  • Manage conflict checks and Client Due Diligence processes to ensure compliance with internal policies and best practices.
  • Maintain efficient file management processes, including closing matters, processing bill payments, and reconciling client balances.
  • Handle complex diary management, pro actively planning meetings and travel arrangements while resolving scheduling conflicts.
  • Ensure all meeting logistics are arranged, including preparing materials, itineraries, and hospitality services.
  • Leverage centralised administrative support teams for document production and other administrative tasks, ensuring timely and accurate completion.

SKILLS & EXPERIENCE

  • Experience in a similar role within a legal or professional services environment.
  • Strong verbal and written communication skills, with excellent attention to detail.
  • A client-focused approach, demonstrating exceptional service and professionalism.
  • High level of competency in Microsoft Office and other relevant systems.
  • Ability to work efficiently under pressure, managing multiple priorities and deadlines.
  • A team player with a collaborative approach, while also being able to work independently.
  • A flexible and adaptable mindset, committed to continuous improvement and excellence.
