We're looking for a Facilities Administrator to join our client's dynamic team in Edinburgh for 12 months and play a key role in supporting our facilities operations. This is a fantastic opportunity to deliver real impact, work with a variety of people, and help keep the workplace running at its best.What You’ll Be Doing:

  • Act as the first point of contact for all facilities-related calls and requests, delivering top-tier customer service within strict SLAs.
  • Manage maintenance and service requests from start to finish, keeping stakeholders updated along the way.
  • Coordinate planned preventative maintenance and respond swiftly to reactive issues.
  • Flag potential risks to management promptly and responsibly.
  • Handle and process original legal documents with accuracy and confidentiality.
  • Operate key Digital Mailroom equipment, including guillotines, scanners, folding machines, and digital printers.
  • Manage contractor/vendor access, ensuring all compliance checks and inductions are completed.
  • Support on-site facilities operations and assist with internal office moves and manual handling.
  • Take ownership of essential Health & Safety roles such as First Aider and Fire Warden, and maintain noticeboards with up-to-date information.
  • Contribute to ad hoc projects and offer support where it’s needed most.

What You’ll Need to Succeed:

  • Previous experience in a facilities environment or print services.
  • Hands-on experience operating digital printing equipment and using Fiery Print Software.
  • Proficiency in Adobe Acrobat, Microsoft Office Suite (Excel, Word, PowerPoint), Microsoft Teams, and Outlook.
  • Strong communication skills and a commitment to outstanding customer service.
  • Willingness to perform manual handling tasks (up to 25kg).
  • A proactive, adaptable mindset to support the evolving needs of the business.
