FM Commercial Assistant - Permanent, Full Time

Edinburgh City Centre (hybrid working)

Salary £26,000 + excellent holidays and benefits package

Key Responsibilities:

  • Be the Backbone of the Commercial Team:Helping to stay on top of deadlines and provide day-to-day support, coordinating closely with the FM supply chain and finance teams.
  • Take Charge of Month-End Reporting:Manage and administer accrual and prepayment schedules, delivering accurate and timely Revenue and Gross Income reports.
  • Own the Invoicing Process:Prepare, review, and raise monthly client invoices with precision and efficiency.
  • Drive WIP and Debt Monitoring:Track and report monthly Work-in-Progress and Debt movement to support our financial goals.
  • Champion Fair Payments:Validate invoices, seek approvals, and ensure all payments align with the Fair Payment Charter.
  • Deliver on KPIs:Keep our performance metrics on track, contributing to key FM objectives.
  • Complete Varied Tasks and Admin Duties:Tackle ad-hoc FM projects and additional FM admin tasks as directed, adding variety to your role!


What You'll Bring:

  • Relevant Experience: You've previously worked in an Facilities Management administration role, ideally in a commercial setting.
  • Communication Savvy: Strong communication skills to interact confidently with team members and clients.
  • Organisational Prowess: Great at managing your time and juggling priorities to meet deadlines.
  • Client Interaction Experience: Skilled at working directly with client reps.
  • Tech Know-How: Proficiency with Microsoft Office (intermediate level or above).
  • FM Industry Experience: Familiarity with Facilities Management would be advantageous due to the environment you will be working in.
