Role- Events Coordinator

Location- Edinburgh

Working pattern- 35 hours Monday- Friday (hybrid with Tuesday and Wednesday being the only required on site)

Purpose of the role-

The events Co-ordinator is responsible for all aspects of event planning and management, including internal and external events, with experience of planning webinars, conferences, hybrid events and member and non-member training events.

Role Description

  • Planning and executing events and training for members and non-members as required and third party partners
  • Budgeting and tracking expenditure
  • Securing speakers and liaising with them – or their representatives - on arrangements
  • Produce and keep up to date speaker’s database
  • Sourcing images
  • Planning, developing and delivering campaigns as agreed on deadline and within budget
  • Liaising as appropriate with counter-arts in key partner organisations
  • Evaluating the effectiveness of all events, marketing and communication activity
  • Working  as part of the organisations team to deliver the aims and objections of the organisation
  • Keeping up to date with developments in events by reading relevant journals and attending relevant courses
  • Researching new developments, technologies and methodologies in events
  • Advising senior managers as appropriate.

The Events Coordinator will be responsible for the sponsorship programme for the association and its events/ activities. This will also include-

  • Sourcing sponsorship
  • Communication
  • Preparing event information such as speaker information, biographies, photographs and event summaries in a timely manner to allow the marketing team to advertise events with plenty of notice.
  • Promotion of new innovative ways to communicate the association’s messages to existing and potential members as well as key third parties and stakeholders
  • Ensure the effective evaluation of all events takes place after each season to allow and feedback and improvements to be included in the planning of subsequent events.
