We are excited to announce an Internship within our Vehicle Services Team at our European Head Office in Egham, Surrey.

As a Vehicle Services employee, the variety of tasks will keep you motivated and busy too! Our fast-paced roles involve working independently and within a team in order to complete daily goals and team deadlines. The roles involve a variety of duties, supporting different areas of the business across the UK and Ireland; working closely with Car Sales, Fleet Strategy and Accounts Payable. As a department we are responsible for processing all vehicle car sale invoices, handling transportation and completing all administration duties for the disposal of our fleet once vehicles have fulfilled their rental life. 

The Vehicle Services Internship would suit anyone looking to hone their skills via a placement opportunity in account management, logistics and supply chain.

Responsibilities

The department is made up of 4 teams; Sales Support, Logistics, Operations and Admin. Additionally, we have an Out of Hours Team which provides support during evenings and weekends. The successful candidate will work closely with all the teams gaining exposure and insight in to the different operations in the department.

The Sales Support team works predominantly with the Remarketing team who sell our vehicles across the UK & Ireland, using bespoke systems EVMS and Kerridge for supporting all car sales, as well as working closely with the Accounts payable team; processing payments, refunds and keeping internal reporting up to date and accurate.

The Logistics team works closely with rental branches, remarketers and external vendors to ensure that the process for disposing and transporting a vehicle across the UK and Ireland flows as smoothly as possible, whilst delivering great customer service across the board.

The Operations team works closely with the Vehicle Repair DRU, RMS, storage compounds and external salvage partners to ensure that the process for defleeting, transporting and selling damage vehicles within the UK and Ireland is adhered to and our brand is protected, whilst delivering great customer service across the board.

The Admin team act as a point of contact and carry out many duties to support Rental and Remarketing, as well as transport vendors for payment updates and the DVLA to help provide efficiencies in the business.

Out of Hours team employees are cross trained on processes and duties within all 4 teams to support, cover volume and continue providing and are encouraged to complete training in all areas of the department for progression and development.

Tasks include:

  • Building and maintaining relationships with internal and external vendors
  • Project work to assist streamlining of various manual processes
  • Creation and completion of sales invoicing
  • Data entry, reporting and analysis
  • A point of contact, via email and telephone for queries, transportation, taxation and HPI queries
  • Organisation and follow up of transport movements
  • Overseeing performance of assigned transport vendors and storage compounds through Key performance indicator meetings
  • Working closely with EU Accounts to ensure car sale receivables are processed, outstanding payments for refunds chased, vendor payments released, and queries cleared
  • Support in the DE&I strategies and implementation

Qualifications

  • Must be a current university student looking to undertake a placement year (any discipline)
  • A fast learner with a ‘can do’ attitude
  • Unwavering attention to detail, with a firm commitment to accuracy and consistency
  • Excellent verbal and written communication skills
  • Ability to build and maintain relationships with internal and external contacts
  • Excellent organisational and time management skills
  • Strong ability to multitask
  • Competent user of Microsoft Office products (PowerPoint, Word, Excel)
