We are recruiting for an excellent opportunity as my client's Governance Administrator based in Enfield, London. This is a full-time permanent opportunity paying 34,341 per annum.

We are looking for a dynamic and experienced senior administrator to support the school's governing board and executive team, it's a new and exciting role as we continue to expand. Whilst experience in a similar role in a school setting is desirable, it isn't essential. We welcome applications from people with a wide range of backgrounds and we're looking for someone who shares our values and beliefs.

Based in the borough of Enfield, is a school that provides education to children and young adults with special educational needs and disabilities, from the ages of 4 to 25.

Purpose of the role:
You'll provide an excellent admin service to the schools governing board, the school's executive team and the Enterprise Cooperative Trust (ECT).

Key relationships:

  • You'll report to the people & culture manager and will work closely with the school's governing board, CEO and directors.
  • You will also work closely with the ECT's trustees and partners, including the chair of the ECT representative council.

We're looking for a dynamic senior administrator who is passionate about bringing the vision of the School and the ECT to life and who thrives in a key and busy role. You will have experience of working in a similar environment, be gifted at getting things done, and be an effective communicator.

Primary responsibilities
You'll provide excellent customer care and admin support to the following stakeholder groups, helping them to be successful in their roles.

  • Executive team
  • Governing board
  • Enterprise Cooperative Trust


EXECUTIVE TEAM DUTIES

  • Manage the diaries of the CEO and two directors
  • Ensure the CEO and directors have what they need for meetings: book rooms, prepare and circulate agendas and paperwork, greet guests, provide refreshments and catering, take minutes, and track actions
  • Support the organisation of events e.g. Away Days: research and book venues, organise catering, travel and guest speakers, and circulate agendas. You may need to work an occasional weekend to support events (currently twice a year)
  • Respond to communications on behalf of the CEO and directors. The executive team manage their own email accounts and will forward requests for support. You will answer common questions, follow up on requests for information, and carry out research in a timely manner
  • Collate project updates, reports and documentation
  • Provide an excellent customer service to executive team members Support new and existing governors
  • Liaise with the school's HR administrator to ensure checks are completed for new governors in line with Keeping Children Safe in Education (KCSIE)
  • Ensure that all new governors receive an induction and training plan, including ongoing support and guidance
  • Ensure governors are aware of and have up-to-date copies of the Governor Handbook and policies and procedures
  • Ensure governors have access to and can use relevant systems (e.g. GovernorHub)
  • Provide an excellent customer service to the governing board
  • Support governing board meetings
  • Manage the governing board calendar and send meeting invites
  • Prepare agendas for meetings under the direction of the CEO and chairs
  • Ensure meeting agendas and papers are distributed at least 7 days prior and uploaded onto Governor Hub
  • Prepare meeting minutes that succinctly summarise the essence of the meeting and maintain the confidential and sensitive nature of discussions
  • Record decisions and actions, making owners and completion dates clear
  • Ensure governors who weren't present at meetings are aware of and understand key discussions, decisions and actions


DUTIES WITHIN ENTERPRISE COOPERATIVE TRUST

  • Support new and existing ECT partners as directed by the people and culture manager
  • Ensure that new ECT partners receive onboarding information
  • Ensure all ECT partners have access to key documents and information
  • Support ECT Board and representative council meetings as directed by the people and culture manager
  • Manage the ECT board and representative council calendar and meeting invites
  • Prepare agendas for the ECT representative council meetings under the direction of the chair
  • Ensure meeting agendas and papers are distributed at least 7 days prior
  • Prepare meeting records that succinctly summarise the essence of the meeting and maintain the confidential and sensitive nature of discussions
  • Record decisions and actions, making owners and completion dates clear
  • Ensure members who weren't present at meetings are aware of and understand key discussions, decisions and actions
  • Follow up and report on action completion, liaising with representative council members and other
  • stakeholders
