Reed Secure are working with Police Forces who are looking to recruit Senior Management Team Support assistant to 

  • Hourly rate - £12.92 PAYE
  • Location – near Fareham
  • Hours – 37h a week (Monday to Friday) - Fully Office based
  • Length of Assignment – 5-6 Months

Key Accountabilities

  • Email management of the SMT Support mailbox.
  • Dealing with all verbal communication into the SMT Support Team.
  • To support in organising events and conferences on behalf of the SMT
  • To cover annual leave periods for members of the SMT support team.
  • To manage all stationery, stock and goods ordering.
  • To maintain record-keeping systems both manual and computerised to develop and manage information systems to produce accurate, fast and effective data for the PA’s retention, recording, archiving and disposal of material in accordance with the Freedom of Information Act and force procedure.
  • To support the organising of SMT and other meetings, including arranging meeting schedules and venues; co-ordinate the servicing of the meetings including submission, printing and circulation of papers; produce minutes and action lists that are articulate and accurate.
  • To organise all travel arrangements nationally and internationally for ACRO and other hosted national units.
  • To deal with enquiries from other Forces, or internally, responding wherever possible on the post holder’s own initiative and only referring complex issues to the PAs or Office Manager. Initiate appropriate action in line with current policy and procedures, displaying appropriate diplomatic skills and appropriate follow through action.
  • To liaise with Facilities/JICT regarding office equipment and/or to monitor and maintain meeting room office equipment accessed by staff.
  • To ensure that sensitive or personal information is kept securely and handled only by authorised personnel being discreet and trustworthy in the process.

Experience and Skills:

Essential:

  • Considerable secretarial or administrative experience in an office environment
  • Substantial experience of typing/word processing and proficient in document layout
  • Experience in the production and use of administrative software such as email and diary systems, word processors, spreadsheets, presentations and virtual meeting space programs.
  • Experience of minute taking and accurate transcription.
  • Experience of working with Senior Managers.

Desirable: Knowledge of Police Organisation and structure Experience as a secretary to a senior management team
