Role details:

Our client, a prominent company in the Defence and Security sector, is currently seeking a dynamic and organised Bids / Project Co-ordinator for a 6-month contract based in Farnborough.

This is a dual role, supporting the Sales & Marketing function, and the Business Development team.

  • Sales & Marketing function: Responsible for growth of both the business development opportunity pipeline and the closure of sales by negotiating the terms and conditions in contracts.
  • Business Development team: Develops strategic plans to meet revenue targets, builds customer relationships, and prepares proposals. They manage bids and ensure they align with the company's strategy and deliver value. Professionals in this role make independent decisions and mentor junior staff.

Key Responsibilities include:




  • Supporting Head of Programs to:

    • Plan and co-ordinate support to systems under warranty, including day to day activities, schedules and resources.

    • Prepare and maintain support documentation, tracking milestones and deliverables.

    • Ensure support deliverables meet quality standards and customer requirements.

    • Track and manage budget and expenses, ensuring margin is maintained.

    • Manage systems in warranty.

    • Receive and identify new opportunities to support systems in the field, preparing related quotations.

  • Supporting Head of Business Development to:
    • Manage the bid process end-end, plan and control all the bid activity - create bid plan and bid schedule and monitor and update this throughout the bid process and ensure it is being executive efficiently and effectively.

    • Ensure that costings and proposals have been reviewed by all relevant stakeholders and approvals are done as per Governance requirements.

    • Ensure governance of the bids process (Shipley gate process)

    • Manage the proposal response - preparation of the proposal - coloured reviews - alignment with the scope of the bid.

    • Support BD with the capture phase of the bids process

    • Act as central POC for the bid team made up of various stakeholders across the business.

    • Customer engagement- supporting head of BD with customer communications.

What we are looking for in you:

  • Experience in project coordination and administration, particularly within the Defence industry
  • Demonstrated understanding of project controls and bid processes
  • Self-starter - ability to work independently.
  • Keen eye for details - proof reading and formatting.
  • Proficiency with Microsoft Office Suite, including Outlook, Teams, and PowerPoint
  • Excellent organisational and communication skills
  • Ability to maintain accountability and meet deadlines
  • Capacity to work three days per week onsite in Farnborough
